Job Goal

Responsible for planning, organizing, and monitoring procurement functions related to building services inventory management, end-to-end forecasting, replenishment processes, key performance indicators (KPIs), and driving operational excellence to meet district objectives.

Essential Duties & Responsibilities

  • Supervises warehouse employees and manages the daily operations of the building services warehouse to ensure compliance with district processes, project timelines, and customer service standards.
  • Obtains informal bids for the procurement of maintenance supplies and materials in accordance with board policies.
  • Serves as project coordinator for scheduling, dispatching, and shipping and receiving of maintenance and custodial parts and supplies.
  • Maintains a large budget for maintenance and custodial parts and supplies as well as unleaded and diesel fuel.
  • Formulates strategic procurement plans for the district to maximize buying power and minimize inefficiencies.
  • Addresses sourcing planning, needs assessments, specifications and scope of work, deliverables, value analysis, and internal control processes.
  • Researches and recommends best procurement practices.
  • Manages and monitors procurement sourcing activities and replenishment methodology.
  • Manages and directs critical inventory project plans.
  • Supervises warehouse annual physical inventory and daily cycle counts.
  • Prepares and issues reports based on key performance indicators.
  • Participates in the planning and budgeting process; identifies opportunities for expansion, growth, and financial improvements.
  • Performs reporting functions on inventory systems (MP2) and Fuel Management System (FMS).
  • Performs other related duties as assigned.

Supervisory Responsibility

Direct supervision of assigned personnel. Responsibilities include planning, assigning, and directing work; addressing complaints and resolving problems; training employees; evaluating performance; and interviewing, testing, hiring, and assignment of personnel.

Minimum Requirements

Knowledge, Skills & Abilities

  • Knowledge of inventory/supply chain regulations, policies, procedures, techniques, and methods.
  • Knowledge of and ability to use inventory and reporting software.
  • Knowledge of state policies and procedures related to purchasing/procurement.
  • Knowledge of project management methods.
  • Intermediate to advanced MS Excel and MS Access skills.
  • Exceptional oral and written communications, interpersonal and leadership skills.
  • Ability to effectively plan and manage inventory.
  • Ability and willingness to learn and support various inventory databases.
  • Strong problem solving and critical thinking skills.
  • Ability to communicate effectively with a variety of audiences, orally and in writing, including electronic media.
  • Operating knowledge of computer programs, including email, word processing, spreadsheets, and databases.
  • Excellent time management skills and ability to organize, prioritize, manage, and carry out duties efficiently and within established timeframes.
  • Ability to establish and maintain collaborative working relationships with all stakeholders.

Education, Training & Experience

  • High School Diploma or G.E.D.
  • Minimum of (5) years of progressive experience working in lean quality environments associated with manufacturing, inventory or supply chain management or related field, including (3) years of supervisory experience.
  • Experience with material handling equipment.

Certificates, Licenses & Registrations

  • Valid Driver's License Required.

Preferred Qualifications

  • Associates degree in management, business management, or related field.
  • Minimum of (7) years of progressive experience working in lean quality environments associated with manufacturing, inventory or supply chain management or related field, including (3) years of supervisory experience.
