Responsibilities & Expectations:

In this role, you will be responsible for engaging in extensive communication with customers via email, phone, and text throughout the entire job process. Additionally, you will assist with scheduling tasks and contribute to the creation of purchase orders and invoices.

  • Engaging in email, phone, and text exchanges with customers throughout the entire job life cycle, beginning from the initial job request until the job is completed
  • Addressing any inquiries or concerns they may have during the job and even handling post-job billing questions
  • Generating quotations for all jobs by utilizing a template database customizable according to the specific requirements of each customer. Incorporating any specific parts requested by the customer or dictated by the job scope, as well as calculating travel time. Finally, the tailored quote is promptly emailed to the customers for their consideration.
  • Completing information forms that are dispatched to the field team responsible for performing the job. These forms include details such as the make, model, issues, required parts, work orders, and contact information for the customer. The information is based on the conversations you had with the customer.
  • Compiling comprehensive folders for each job, encompassing all relevant information, reports, and photos from both customers and the executing repair team
  • Thoroughly reviewing reports submitted by field crews and making any necessary corrections. Ensuring that all expected parts are accurately recorded and contacting the crew leads to confirm if all the parts were utilized or not. Additionally, ensuring that the correct parts and labor details are entered into our computer system specific to each job, based on the reports and field timecards
  • Providing customers with invoices accompanied by proofread reports. Submitting the invoices through the customer’s websites or following the instruction provided in the purchase orders.
  • Enter purchase orders (POs) into our computer system and email the POs to the vendors
  • Utilize a company vehicle to travel to the jobsite for part deliveries, if required

Qualifications and Competencies:

  • High school diploma
  • Must hold a valid driver’s license
  • Act as an advocate for management procedures, policies, goals, and company vision
  • Display and maintain positive attitudes and cultivate effective relationships with employes, the general public, and customers
  • Possess strong written and verbal communication skills
  • Proficient in reading, interpreting, and retaining information
  • Demonstrates problem-solving abilities, reasoning skills, sound judgement, and analytical thinking
  • Ability to meet task deadlines effectively
  • Proficient in accurate typing, document creation, proofreading, and editing
  • Wors well independently and collaboratively as part of a team when necessary
  • Familiarity with basic Microsoft Office products, including Excel, Word, Outlook, and PowerPoint
  • Adheres to safety protocols in all aspects of daily work
