Job Summary:
This position is responsible for providing support to the accounts payable team and the supply coordinator in the accounting department of Bell Bank. The primary responsibilities in this role are to assist with the processing of vendor invoices in the electronic Concur Invoice system and assist with supply orders/supply room inventory.
Primary Duties:
- Accounts Payable vendor invoice processing and expense report processing:
- Monitor inbox and send electronic invoices to the Concur Invoice system. Perform verification steps to ensure scanned invoices match details captured in the system. Assign electronic invoice to appropriate owner for approval within internal designated timeframe.
- Perform independent review of all checks/ACH payments for invoices and expense reports, mail checks, approve ACH files
- Answer employee questions regarding vendor payments.
- Review invoices to ensure appropriate coding.
- Review employee expense reports to ensure appropriate coding.
- Supply Coordinator:
- Order, organize and maintain the supplies for Bell Bank locations. This includes maintaining proper inventory levels, managing lead times for the various products, minimizing obsolete inventory and taking and processing supply orders from the various locations.
- Work effectively with vendors to ensure the appropriate supplies are ordered and received at the correct price. Our vendor relationships must always be handled in a professional and respectful manner.
- Manage the offsite storage of inventory and the inventory levels at these offsite locations.
- Ensure that all applicable supply requests have approval from the appropriate manager.
- Work closely with various departments to ensure that their supply needs and requests are met in a timely manner. This includes attending meetings and providing information as needed.
- Work closely with the Messenger/Delivery position at Bell Bank to coordinate the distribution of supplies to the various locations.
- Process invoices received from vendors in a timely manner using Concur website to code the appropriate cost center/expense type
- Assist with research and other projects.
- Perform other duties as assigned.
