Accounts Payable Clerk

SUMMARY: A financial specialist responsible for processing, tracking and recording accounts payable transactions in an accurate, efficient and timely manner. Making sure the company stays on track, on time and in good standings with our valued partners.
Primary Responsibilities
- Voucher entry – ensuring invoices are accurate and reconciled to purchasing documents or vendor contracts
- Payment process – prepares weekly payment batches ensuring all payments are timely and in accordance with company policies and procedures
- Maintain schedules to track and ensure monthly vendors are paid on time
- Reconcile vendor statements and resolve any discrepancies in a timely manner
- Manage the accounts payable email inbox and respond to inquiries promptly and professionally
- Strengthen and grow relationships with vendors through timely payments
- Coordinates with all departments to confirm completion/delivery and acquire necessary signatures and coding prior to payment
- Assist with month-end closing activities related to accounts payable
- Monitor aging reports to insure timely payments
- Updates vendor account information, such as, mailing address, W9, payment terms, etc
- Ensure compliance with company policies and procedures related to accounts payable
- Provide support for other accounting and finance functions as needed
Additional Responsibilities
- Execute credit card reconciliations
- Weekly, monthly and year end filing and labeling
- Document scanning
Knowledge and Skill Requirements
- Basic reading, writing, and arithmetic skills required. Must be able to read, write, speak and understand English.
- 2 – 4 years of accounts payable experience preferred
- Must be able to work as part of a team, or independently without constant supervision
- Ability to operate adding machine/calculator
- Computer literate with emphasis on Outlook and Excel
- Experience with AS400, JD Edwards, Stratton Warren, or similar preferred
- Position requires attention to detail and excellent organizational skills
- Must be 21 years of age and able to obtain all local, state and federal regulatory permits as required by position
Working Conditions
Working conditions are normal to an office environment.
Qualifications
High school diploma or the equivalent.
Physical Requirements
Specialized Work Experience: Basic reading, writing, and arithmetic skills required. Must be able to read, write, speak and understand English. Must have legible handwriting. Must be able to work on own, without constant supervision. Knowledge of Microsoft Office and telephone protocol. Position requires attention to detail and excellent organizational skills.
