Job Title: Executive Assistant

Reports to: President, Founder

We are a fast-growing, dynamic company with a startup mentality, seeking a highly motivated

Executive Assistant to support our owner and founder with daily administrative tasks. This

hands-on role provides opportunities for professional growth and exposure to high-level

business operations. The ideal candidate is organized, proactive, and eager to take on increasing

responsibilities in a fast-paced, evolving environment.

Key Responsibilities:

  • Administrative Support
  • Manage the owner and founder’s calendar, scheduling meetings, appointments, and


personal arrangements.

  • Oversee email management, prioritize correspondence, and ensure timely follow-ups.
  • Prepare and organize documents, presentations, and reports.
  • Maintain an organized filing system for important documents and materials.
  • Communication Management
  • Serve as the primary point of contact, screening calls, emails, and messages.
  • Draft and send professional communication, ensuring follow-up as needed.
  • Support social media presence, including content posting and responding to comments.
  • Event & Travel Coordination
  • Coordinate meetings, events, and conferences, ensuring seamless logistics.
  • Arrange domestic and international travel, including flights, accommodations, and


transportation.

  • Task & Project Assistance
  • Provide administrative support for ongoing projects, ensuring deadlines are met.
  • Assist with small internal projects, tracking progress and follow-ups.
  • Anticipate needs and proactively offer solutions.
  • Meeting Participation & Follow-Up
  • Attend key meetings with the owner and founder, take detailed notes, and track action


items.

  • Ensure timely follow-up to keep projects and tasks on track.
  • Growth & Development
  • As the role evolves, take on more responsibility in managing projects and supporting


strategic initiatives.

  • Gain exposure to higher-level business functions and executive leadership.
  • Grow into a senior executive assistant role over time, with increased autonomy and


involvement.

Desired Skills & Qualifications:

  • Two or more years of experience in an administrative or executive assistant role.
  • Strong organizational and time-management skills, with the ability to prioritize


effectively.

  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office, Google Workspace, and other business tools.
  • Ability to handle confidential information with discretion.
  • A proactive, detail-oriented, and adaptable mindset.


Preferred Qualifications:

  • Experience supporting executives, with an understanding of their daily needs.
  • Bachelor’s degree or equivalent professional experience.
  • Familiarity with project management tools or experience managing small projects.
  • Experience with social media management or digital content creation.
  • Knowledge of the food, beverage, and hospitality industry is a plus.
