Duties And Responsibilities

  • Answer and direct phone calls to appropriate individuals, screening when necessary.
  • Welcome and register all visitors, issuing visitor’s badge when appropriate and notifying staff members of guests waiting in the lobby.
  • Provide personable interactions throughout the day with internal and external customers.
  • Communicate with cross departments (individual contributors, middle managers, senior leadership, etc.) clearly and professionally.
  • Manage multiple conference room schedules.
  • Manage office supply inventory, monitor critical level of stock, sourcing for suppliers.
  • Monitor security cameras and report incidents to appropriate personnel and/or police.
  • Retrieve, sort, and distribute incoming mail to appropriate department or personnel.
  • Maintain roll lists for various evacuation drills (fire, natural disaster, etc.).
  • Act as a mentor to Program Participants, when applicable.
  • Perform other related duties as assigned.

Requirements

Qualifications

  • 3 Years office office administration, customer service, or reception experience preferred.
  • Bilingual English and Spanish highly desirable.
  • Ability to type 30 WPM or greater.
  • Working knowledge of Microsoft Office Suite software and the use of computer systems (computer, photocopier, facsimile, etc.)
  • Ability to work independently and perform clerical assignments with moderate direction.
  • Ability to compare data from two or more sources for accuracy and completeness.

The wage range for this role considers several factors, including but not limited to required experience, skill level, prior training, education, and other business needs.
