Executive Assistant Role

- Calling clients to invite / thank them for coming to the event.
- Schedule team travel and training.
- Events
- Coordinate & execute client events.
- Amplify & Implement Open House Experience.
- Calendar and agenda management.
- Schedule vendors to present at our weekly team meetings.
- Review and finalize team meeting agendas.
- Ensure accuracy of closings dates and locations in Agent calendars.
- Coordinate moving into new office space.
- Gather listing timeline information.
- Coordinate with vendors
- Photography.
- Staging.
- Georgia 411.
- Open House signs and supplies, install and pickup v. Sign and lockbox installation and pick-up.
- Prepare marketing material orders
- Onboarding materials i.e, business cards.
- Door knocking materials, i.e, flyers.
- Open house materials i.e, listing booklets.
- Closings
- Scan and copy closing documents and electronically file b. Deliver closing checks to MCA.
- Office supplies
- Ensure inventory is maintained.
- Prepare orders for low inventory.
- Assemble and prepare documents for
- Listing appointments.
- On-site buying consultations.
- New contracts.
- Gift orders
- Prepare mail outs for referral gifts.
- Prepare cutting board orders for buyers c. Prepare closing gifts.
- Baby blanket gifts.
- Item Mail Outs and Returns
- Handle returns to vendorsb. Prepare birthday and anniversary lists for monthly mailings.
- Prepare market data and gather addresses for prospecting mailers.
- Deliver mail outs to post office i.e, referral gifts, monthly CMAs, etc.
- Agent On/Offboarding
- Schedule meetings between agent and Team Leader.
- Update onboarding/offboarding system with appropriate information.
- Finances
- Calls to vendors for booking, refunds, etc.
- Pay invoices to vendors (staging, photography, etc.)
- Electronic Filing
- File documents in appropriate Google Drive folders i.e, Chartmasters.
- Systems
- Execute systems for sellers, buyers, lead generation, database management, information management, and back-office support.
- Create and maintain operations manual that documents all systems and standards.
- Support marketing efforts to generate additional business.
- Ensure monthly newsletters go out to database and Agents.
- Ensure a clean and up-to-date database is maintained.
- Hiring
- Support Team Leader in hiring and training team members.
- Project Assistance
- Monthly CMAs.
- Other various projects.
- Agent Experience:
- Arrange for Birthday celebration of Agents and Staff - Surprise & Delight b. Arrange for Monthly Individual Lunch with Team Leaders.
- Arrange for Annual Awards Ceremony.
- Arrange for Monthly / Quarterly Awards in Team Meetings.
- Proficient in G-Suite, Canva
- High School Diploma
- 2+ yr work experience
